Accepting an Invite
An invitation lets you join an existing organization without accidentally creating another organization. Open the link using the exact email address that was invited.
What arrives by email
Section titled “What arrives by email”SquadOS sends the invitation in the language selected by the organization. The message contains:
- your name;
- the access role associated with the invitation;
- an Accept Invitation button;
- the same link as text in case the button does not work;
- a notice that the invitation expires in 7 days.
The link always points to https://app.squados.io/accept-invite?token=.... It is personal and stops working after the invitation is accepted, expires, is canceled, or is resent with a new token. Do not share it.
If the message does not arrive, check spam and junk mail. Someone who manages access can use Resend invite under Settings → Users; this renews the link and its expiration period.
Before accepting
Section titled “Before accepting”When you open /accept-invite, SquadOS looks up the invitation by token and checks that it exists, has not been used, and has not expired. The switcher in the top corner lets you change the language of this public screen without changing the organization’s language.
The next step depends on whether your account exists and which session is open in the browser.
If you do not have an account yet
Section titled “If you do not have an account yet”The Create account screen shows the name and email from the invitation and asks only for a password.
- Set a password with at least 8 characters.
- Click Create account and accept.
- SquadOS creates the account with its email already confirmed.
- The system creates your organization membership, applies the role and teams from the invitation, and makes that organization active.
- You are signed in automatically. If automatic sign-in fails, the account and acceptance still exist; the login screen opens so you can sign in manually.
Do not use public sign-up at /signup to bypass this screen. Public sign-up creates a separate organization; the invitation flow is what connects your new account to the correct organization.
If you already have an account
Section titled “If you already have an account”When there is no open session, the screen identifies the invited email and shows Log in.
- Click Log in.
- Sign in with the account that uses the same email as the invitation.
- SquadOS returns to the same link.
- Check the company and access role shown on the screen.
- Click Accept invite.
Acceptance creates your membership, applies the associated teams, and makes the new organization active. SquadOS then opens the Hub or the first administrative area allowed by your role. The exact route depends on the permissions you received.
If another account is open
Section titled “If another account is open”The Different email screen shows the current session email and the expected email. Click Sign out and log in with the correct email. SquadOS ends the session and opens login while preserving the return to the invitation.
You cannot accept the invitation with an account that uses a different email.
Role, access profile, and teams
Section titled “Role, access profile, and teams”The acceptance screen shows the compatible level stored in the invitation: User, Attendant, Collaborator, or Administrator. Ownership is not assigned through an invitation.
Available screens and actions are not determined by that name alone. The person sending the invitation selects one or more roles, and effective access is the union of those roles’ permissions. See Users and Roles to understand the access model.
The invitation can also include teams. When you accept, you automatically join the selected teams. This does not replace role permissions or guarantee unrestricted access to agents, knowledge bases, or other areas.
Switch between organizations
Section titled “Switch between organizations”After acceptance, the inviting organization becomes active. If your account already belonged to other organizations, use the switcher at the top of the sidebar to move between them. Switching reloads data in the context of the selected organization.
See Multiple Organizations for details.
When the invitation does not work
Section titled “When the invitation does not work”The Invalid invite state shows the available reason and offers Go to login.
- Invite token not found — the address was opened without the
tokenparameter. - Invite not found or invalid — the link was truncated, canceled, replaced by a resend, or never existed.
- This invite has already been accepted — sign in normally and look for the organization in the switcher.
- This invite has expired — request a resend; each send is valid for 7 days.
- Empty response, unexpected response, or another server error — try opening the link again. If it persists, request a resend and report the error to support.
The user limit is checked before an invitation is sent or resent. If the plan is full, an administrator must free a seat or change the plan before a new valid invitation can be sent.
