Agent Access
The Agent Access tab shows and changes who can Use, Edit, and Delete an agent. Open Agents, select the agent, and choose Access in the sidebar.
The three actions
Section titled “The three actions”- Use — chat with the agent. It doesn’t open the agent’s configuration, prompt, or bases.
- Edit — change the agent’s configuration.
- Delete — delete the agent.
Each action is an independent box: someone can use an agent without being able to edit it.
Who has access
Section titled “Who has access”The table lists, in the Who column, the departments and people with specific access to this agent, with a box for each action. Each row shows whether it’s a Department or Individual access.
To add someone:
- In Add departments or people, search for and pick the departments or people.
- Tick the actions in the table.
- Click Save. Discard goes back to what was saved.
Whoever created the agent is marked Creator. Access that came from the organization’s previous setup appears as Existing personal access.
Who already has access through a broad permission
Section titled “Who already has access through a broad permission”Some people reach every agent, not just this one. When a department or a person has, for example, Use on All agents — current and future, the Who already has access through a broad permission box shows it at the top. That access doesn’t change here: it’s set in the department or on the person’s profile. See Departments and access.
The organization owner has access to every agent.
The same permission in three places
Section titled “The same permission in three places”Access to an agent is the same permission seen from three places: this tab, the department’s Permissions tab, and the Access section of the person’s profile. Changing it in one place changes it in the others.
What agent access doesn’t cover
Section titled “What agent access doesn’t cover”- Handling the conversations of an inbox depends on access to the inbox (View and Reply), not on access to the agent that answers in it.
- Using the agent doesn’t give access to its knowledge bases. To work on the bases, the person needs access to the bases.
- An agent added to a room can be called by whoever participates in it. See Rooms and direct messages.
